2. What personal data we collect
We collect only what we need to answer an enquiry and to run the website:
- Enquiry details you send us. Full name, company name, email address, telephone number, and anything you write in the message field, including the service, platform, project stage and timeline you select on an enquiry form.
- Correspondence. Emails and call notes that follow from your enquiry.
- Technical data from the web server. IP address, date and time of the request, the page requested, the referring page and browser identification, recorded in standard server logs.
- Anti-spam data. Your IP address is held briefly, in a form that cannot be read back as an address, to limit the number of submissions from one source.
We do not ask for special category data and we ask that you do not send it through the website forms. We do not knowingly collect data about children through this website, which is aimed at businesses.
3. Why we use it and our lawful basis
- Answering your enquiry and preparing a proposal. Lawful basis: steps taken at your request before entering into a contract, or our legitimate interest in responding to business enquiries where you write on behalf of an organisation.
- Delivering a project you have commissioned. Lawful basis: performance of a contract.
- Keeping the website secure and available, and preventing spam. Lawful basis: our legitimate interest in protecting our systems.
- Meeting our legal and accounting obligations. Lawful basis: compliance with a legal obligation.
We do not use your details for marketing unrelated to your enquiry, and we do not sell or rent personal data to anyone.
4. How long we keep it
- Enquiries that do not lead to a project: up to 24 months from the last contact, then deleted.
- Records relating to a project we carried out: for the duration of the engagement and for 6 years afterwards, in line with the limitation period and our accounting obligations.
- Web server logs: up to 12 months.
- Anti-spam records: up to 24 hours.
5. Who we share it with
We use a small number of service providers who process personal data on our instructions under a written contract:
- our hosting provider, which operates the web server and stores the server logs;
- our email provider, which carries the enquiry emails and our replies;
- our accountants and professional advisers, where a record forms part of the company’s books.
We also disclose personal data where the law requires it, or to establish or defend legal claims.
6. Transfers outside the UK
We keep personal data in the UK or the European Economic Area wherever we can. Where a provider processes data outside those areas, we rely on UK adequacy regulations or on the International Data Transfer Agreement, or the UK Addendum to the European Commission’s standard contractual clauses, together with any additional safeguards the transfer requires. 7. Your rights
Under the UK GDPR you have the right to:
- ask for a copy of the personal data we hold about you;
- have inaccurate data corrected;
- ask us to erase data, where we have no continuing reason to hold it;
- ask us to restrict how we use it, or object to processing based on legitimate interests;
- receive data you gave us in a portable format, where processing is based on consent or a contract;
- withdraw consent at any time, where processing is based on consent, without affecting anything done beforehand.
